Data Dictionary
Establish a single source of truth for how data elements are defined and used across the organization.
Definition
A Data Dictionary is a centralized repository of data definitions that describes the meaning, format, source, and usage of data elements used by the business and its systems. Unlike concept models, which define business concepts at a high level, a data dictionary focuses on individual data elements and their precise attributes — ensuring consistent understanding across stakeholders, systems, and reports.
Inputs
- Identified data elements from requirements, reports, and system interfaces
- Existing glossaries or data definitions
- Stakeholder input from data owners and domain experts
- System specifications and data flow documentation
Outputs
- A structured data dictionary with element names, business definitions, data types, allowed values, source systems, and ownership
- Inputs to system design, integration specifications, and test cases
- Improved data quality governance and reduced misinterpretation across teams
When to Use
- Data-heavy initiatives where consistent definitions are critical to reporting or integration
- Building or modifying reports, dashboards, or analytics systems
- Integrating multiple systems that share common data elements
- Regulatory or compliance reporting requiring precise, auditable definitions
When Not to Use
- When the initiative involves minimal data and inline definitions are sufficient
- When data definitions are already standardized, governed, and stable
- Very small-scope initiatives where the overhead exceeds the value
