Item Tracking
Monitor the status, ownership, and progress of requirements, issues, and action items throughout delivery.
Definition
Item Tracking is a technique used to monitor the status, progress, and ownership of requirements, issues, defects, risks, decisions, change requests, and action items throughout an initiative lifecycle. It provides visibility and accountability — ensuring that nothing is lost, ownership is clear, and progress can be reported at any point.
Inputs
- Defined item types to track (requirements, defects, risks, decisions, actions)
- An agreed tracking tool or register (spreadsheet, issue tracker, or requirements management tool)
- Identified owners for each tracked item
- Governance cadence for review and status updates
Outputs
- A maintained item register or log with unique IDs, status, owner, priority, and due date
- Visibility into open, in-progress, and closed items at any point in the lifecycle
- Accountability for follow-through on decisions and actions
- Inputs to status reporting, governance reviews, and change control
When to Use
- Multi-stakeholder initiatives where accountability and visibility are critical
- Long-running programs where items accumulate and must be actively managed
- Regulated environments where an audit trail of decisions and actions is required
- Any project with dependencies, handoffs, or distributed ownership
When Not to Use
- Very small, short-duration initiatives where informal tracking is sufficient
- Single-team efforts with daily communication and no handoff risk
- When a dedicated tracking tool would add overhead without value
